Privacy Policy

StudyWard is a study app for healthcare students. This policy explains what we collect, why, and the choices you have. It applies to the StudyWard website, web app and mobile apps.

What we collect

• Account details — your name, email address and sign-in method (email, Google or Apple).
• Study set-up — your programme, exam, exam date, daily goal, time zone and reminder preferences.
• Your material — files you upload (PDFs, slides, Word documents, photos), text you paste, transcripts made on your phone, and the study sets generated from them.
• Study activity — reviews, answers, sessions, mock exam scores, streaks and badges, so the app can schedule reviews and show progress.
• Subscription status — whether you have Pro and when it renews, from our billing provider. Card details stay with the app store or payment processor; we never see them.
• Usage events — which features are used (for example "a set was generated"), never the content of your material, file names or free text.
• Device push token — if you allow notifications, so we can send reminders and "set ready" alerts.

Audio: lecture recordings are transcribed on your phone. Audio is never uploaded to StudyWard or sent to AI.

How AI processes your material — Free vs Pro

StudyWard uses third-party AI services to read your material and write questions, flashcards, study guides and tutor answers. Which tier processes your material depends on your plan:

• Free plan — material is processed on our AI providers' free tiers. Under those providers' terms, content sent on the free tier may be used to improve their services.
• Pro and trial — material is processed only on our AI providers' paid tiers, which do not use your content to train or improve AI models. Upgrading applies to material you add from then on.

Please don't upload real patient identifiers or anything you're not allowed to share.

How we use your data

• To build and show your study sets, schedule reviews and track readiness.
• To run your account, subscription and notifications.
• To keep StudyWard secure, prevent abuse and fix problems.
• To understand which features help students, using the usage events above.

We don't sell your data, and we don't use your material for advertising.

Sharing

Your sets are private unless you share one — then only people with your invite link can join it. We share data only with service providers that run StudyWard for us (hosting and database, AI processing, billing, email and push notifications), under contracts that limit their use to providing the service.

Where your data lives and how long we keep it

Data is stored in the United States and encrypted in transit. We keep it while your account is open. When you delete your account, everything is permanently removed after a 30-day grace period, during which you can sign back in to cancel.

Your choices

• Export — download all your data as JSON from Settings, free.
• Delete — delete your account from Settings on the web or in the app.
• Notifications — turn reminders on or off in Settings or your phone's settings.

Children

StudyWard is meant for college and university students and isn't directed at children under 13.
